| How can I create several assets that have most but not all data in common? | |

For example, I need to add 20 assets from today's shoot, where data such as
“Title, Format, Event type, Category and Shoot Information” will be the same but
“Subtitle and Logs” will be different.
You may use RECORD/BULK CREATE to create multiple assets, keying in all the common data. These assets may also include sub-databases by selecting databases before you click OK on the Media Window. This method has a limit of one record per sub-database. You will then be prompted for an asset number range or the number of assets to be created, depending on your system configuration. Next LOCATE these assets, using the common data as criteria, select ALL and UPDATE. The system will display each highlighted asset, one by one, where you can key the data unique to each of the assets. |

| Should I use Bulk Create if I am adding several dubs of the same asset? | |

These assets will have all the same data except “Type” (Master, Edit Master, Dub,
etc.)
You can use either BULK or INSERT followed by COPY, depending on the subdatabases. BULK will only allow you to create one record per sub-database. For example, if the assets have multiple log records, you should INSERT one asset with all the common data, COPY and follow the steps above to UPDATE each asset with any unique data. |

| I have thousands of assets in our archive which need to be entered into MLS. What is the best way to accomplish this? | |

Data entry can be done in an incremental way which reflects your workflow and
isn't intrusive on your day to day operations. What we recommend is as a asset
becomes active in your workflow, attach a bar code to it and scan it in. The asset
and its location can then be scanned into the system, and basic information such as
“Title, Format, Date” etc. can be entered. More detailed information can be entered
at a later time, but this information will allow you to catalog and later find the
asset.
Another option is to print barcodes for all of your assets, and attach a bar code to each one. Using our MobileMLS scanner, you can then scan and enter basic information for each asset and upload this data to MLS. |

| How can I keep track of blank stock that I order? | |
| As new stock is ordered, a bar code can be attached to all blank assets and the assets scanned into MLS with a location code unique to the blank stock. As the assets are used the location will change, so that any point in time you can query the MLS data base for the blank stock and see what your inventory is. | |
| I have data in an excel spreadsheet for our assets. Can this be imported into MLS? | |
| Yes. MLS provides a standard utility which allows users to import data from excel into MLS, as well as from other systems as long as they can export the data in a common file format. | |
| Are there any audit features in MLS? | |
| MLS provides a history tracking feature for each asset. Based on your own criteria, whenever a defined field for an asset changes (such as location) a record is written to the history file to log this change. In this way you have a complete audit log of all activity for each asset. | |
| What kind of security does MLS have? | |
| MLS provides system security down to the field level. Each user of the system has a profile which is managed by the system administrator. Users can be given “read only” access, access to only specific parts of the data base, or any combination of “read/write” access for any data field in the system. | |
